Emails can be sent to homeowners directly from the PDI & Warranty software.
In the menu panel, select "Units."
To send an individual email, use the top "Filter Units" bar to search for any unit using the unit number, purchaser name, or purchaser email.
Once you have found the unit you are looking for, click on the 3-bar icon to view the unit's dropdown menu. Then, select "Email."
On this page, you will be able to see the details of previous email history. Each email sent will show the status and is time-stamp. You may also use the Actions icons to view, re-send, or reply to an email.
Click on "Create Email" to begin a new email.
You may now fill in the text for the new email, including the subject, body, and any additional details. Make sure to select if you would like this email sent to all purchasers on file, or only the primary purchaser. Once you are ready to proceed, you may select "Send Email."
Emails templates can also be created here, so that common layout and text can be saved for future emails. You may enter the email subject and text as usual, while also taking into consideration the Placeholder dropdown options that may have desired features for various emails to homeowners.
Clicking "Save" next to the Templates bar will allow you to save this template copy.
Once "Save" is selected, enter a name for the template, then click "Agree" to save this.
When a new email is created, you will now see this template saved under the Templates dropdown options.
If you would like to delete a template, simply click on the X icon next to the template name. The below pop-up will appear that allows you to click "Agree" to confirm deleting the selected template.
Emails can also be sent to multiple purchasers at a time. On the Units page, click on the Mail icon to begin a bulk email draft. You may also use the filtering features to isolate the desired units.
Similar to the individual emails, the email draft will allow you to enter all necessary information prior to sending. You may also use the Templates feature here.
In the "Units" bar, you will see the list of units this email will be sent to. Click on this to edit the units.
Once you select Units, you may edit which units will receive the email by checking off or unchecking the unit list. Then select "Send Email" to send this draft to all selected units.
