Adding deficiencies will be a crucial part of utilizing the inspection platform.
This can be done by clicking "Add a Deficiency" within the menu.
Once you have opened this new deficiency, you can enter the deficiency information. The three lock-icon options will be very useful and allow for an efficient and simplified inspection. This function allows you to lock specific information, which will be saved for the following deficiency created.
Clicking the lock on Type will save the type of inspection you are conducting and apply this going forward. Locking the unit will set the unit number, so that you can complete a full inspection for that specific unit, without having to manually select it each time. Locking the room will be useful in creating multiple deficiencies that apply to a specific room, so that you do not need to select it each time.
As you are going through creating deficiencies with any of these items locked, make sure to click "Create and Add New" so that these locked items will be saved for the next deficiency created.
Clicking the "Select Type" dropdown will allow you to select the inspection type. Then, enter the level and unit number in the following field by either typing it in or selecting from the list. You will then have to select the room where the deficiency is located from the "Select a Room" dropdown options. Incase the room type is not listed, there is also a "Custom location*" field.
In the following "Description" field, you may type a description of the deficiency, which will be useful for the applicable trade to review. Below the description box, you can also attach image(s) of the deficiency.
Below the descriptions, trades and/or service reps can be assigned to select which trades will be responsible for correcting the deficiency. The due date will automatically populate to one-month from the current date, but this can also be customized by clicking the calendar icon under "Select Due Date." The status will also automatically populate to "Not Started" but this can be changed as needed. The priority of completing this deficiency can be modified between low, medium, and high.
Once the information has been entered, you can click the "Create Deficiency" button if this is the only one you need to record, or select "Create and Add New" if you need to continue adding deficiencies. Clicking "Create and Add New" will save the deficiency you created, while also taking you to a fresh page to record the next one.
If "Create Deficiency" is selected, you will be taken to the "Punch List" page, which is also accessible from the menu dropdown, and shows a list of all deficiencies created.
